PAYMENT TERMS AND CONDITIONS

Thank you for choosing Still Waters Safaris. We are committed to providing you with exceptional service on your safari and beach adventure. Please review our payment terms and conditions carefully before confirming your booking.

1. BOOKING AND PAYMENT SCHEDULE

1.1 Reservation Deposit: A non-refundable deposit of 30% of the total safari cost is required to secure your booking.

1.2 Final Payment: The remaining balance must be paid in full 60 days prior to your safari departure date.

1.3 Late Bookings: For bookings made within 60 days of departure, full payment is required at the time of booking.

1.4 Payment Methods: We accept payments via bank transfer, credit card, and other methods as specified in your booking confirmation.

1.5 Currency: All prices are quoted in US Dollars unless otherwise specified. Currency conversion fees and bank charges are the responsibility of the client.

2. CANCELLATION AND REFUND POLICY

2.1 Non-Refundable Bookings: All bookings with Still Waters Safaris are non-refundable. Once your itinerary is confirmed and payment is processed, no refunds will be issued for any reason, including but not limited to changes in travel plans, personal circumstances, cancellations, or early departures.

2.2 Deposit Forfeiture: The initial deposit is non-refundable under any circumstances.

2.3 No-Show Policy: Failure to arrive for your trip (“no-show”) will result in forfeiture of 100% of the total safari cost with no refund provided.

2.4 Third-Party Services: Many of our safari services are provided by third-party operators who maintain their own strict cancellation policies. These policies influence our no-refund stance as we are often unable to recover costs once commitments have been made.

3. ITINERARY MODIFICATIONS

3.1 Modification Requests: We will make reasonable efforts to accommodate itinerary modifications, subject to availability and operational feasibility.

3.2 Modification Fees: Changes to confirmed bookings, including but not limited to dates, accommodations, or safari duration, may incur additional charges. These charges will be communicated to you at the time of the modification request.

3.3 Downgrade Adjustments: Changes resulting in a lower cost of service are still subject to our no-refund policy on the original booking amount.

3.4 Transfer of Booking: Bookings may be transferred to another person, subject to a transfer fee and approval by Still Waters Safaris, provided that all suppliers and service providers accept the substitution.

4. TRAVEL INSURANCE

4.1 Mandatory Insurance: Comprehensive travel insurance with adequate coverage for trip cancellation, medical emergencies, evacuation, and personal belongings is strongly recommended for all clients.

4.2 Insurance Verification: Still Waters Safaris reserves the right to request proof of adequate travel insurance prior to departure.

4.3 Insurance Claims: Any claims for losses or expenses must be made directly to your insurance provider. Still Waters Safaris will provide reasonable assistance with documentation for insurance claims but bears no responsibility for claim outcomes.

5. FORCE MAJEURE AND EXCEPTIONAL CIRCUMSTANCES

5.1 Definition: Force majeure includes but is not limited to: acts of God, natural disasters, adverse weather conditions, fire, war, civil unrest, terrorism, labor disputes, government actions, epidemics, pandemics, wildlife migrations, or any other circumstances beyond our reasonable control.

5.2 No Liability: Still Waters Safaris is not responsible for any delays, changes, or cancellations due to force majeure events. In such cases, no refunds or compensation will be provided.

5.3 Alternative Arrangements: In the event of force majeure, we will endeavor to offer alternative arrangements of comparable standards, subject to availability. Any additional costs will be the responsibility of the client.

6. ADDITIONAL CHARGES AND RESPONSIBILITIES

6.1 Inclusions and Exclusions: Your safari package includes only those services explicitly listed in your confirmed itinerary. All other expenses are your responsibility.

6.2 Incidental Expenses: You are responsible for any additional charges incurred during your trip, such as drinks, souvenirs, activities, or services not included in your invoice/quote.

6.3 Damages: Clients will be held financially responsible for any damages caused to accommodations, vehicles, equipment, or facilities during their safari.

6.4 Gratuities: Tipping guides, drivers, and camp staff is customary but not mandatory. Guidelines for appropriate tipping will be provided in your pre-departure information.

7. DISCRETIONARY EXCEPTIONS

7.1 Sole Discretion: While our policy is strictly no refunds, Still Waters Safaris reserves the right to make exceptions or provide discretionary credits or refunds in truly exceptional circumstances, solely at our management’s discretion.

7.2 Credit Options: In lieu of refunds, Still Waters Safaris may, at its sole discretion, offer credit toward future safaris, which may be subject to certain terms and conditions.

7.3 No Precedent: Any discretionary exception made does not constitute a waiver of this policy for future situations or establish a precedent.

8. ACKNOWLEDGMENT AND ACCEPTANCE

By confirming your itinerary and making payment, you acknowledge that you have read, understood, and agreed to these payment terms and conditions, including the no-refund policy. If you have any questions, please contact our customer service team before making your booking.

9. GOVERNING LAW AND JURISDICTION

These terms and conditions shall be governed by and construed in accordance with the laws of Tanzania. Any dispute arising from these terms shall be subject to the exclusive jurisdiction of the courts of Tanzania.
